When is Car Rental Services open?  
Monday through Friday, Academic Year  7:30am - 5:00pm.
Monday through Friday, Summer (June - August) 7:30am - 4:30pm.

The Car Rental Office is closed on all University designated holidays and weekends. 

How do I reserve a vehicle? 

Go to Car Rental Services website and click on, Reserve your vehicle today! And follow the steps. If you do not have a profile with Car Rental Services, you need to email, Car-Rentals@uwyo.edu, or contact the office 766-3229. 

How long can I reserve a vehicle for?  
Reservations can be for 1 day, several days, weekly, monthly and long-term (year or more), however, a minimum charge of one day applies to rentals that are picked-up before 4:00 pm and dropped off after 7:00 am the day of drop off. There is a key box for drop off after hours. Vehicles must be picked up and returned at designated times. If you need to extend your reservation, please call the Car Rental Services office, 307-766-3229.

If I rent a full size sedan for nine days, how do I calculate my rental charge?
Your bill will be based on a rental of one week (1 week @ $237) plus two days (2 days @$47.00/day) for a total of $331.

If I rent a full size sedan for 40 days, how do I calculate my rental charge?
Your bill will be based on a rental of one month (
1month @$765), one week (1 week @$237) and three days (3 days @$47) for a total of $1,143.

If I have a vehicle over the weekend, will I be charged?

Yes, if you have a vehicle over a weekend, you will be charged for the weekend. Only exception is during Winter break and arrangments must be made through the Car Rental Services Office. Please state in the comment section for early pick-up due to early departure on Monday. If this is not in the comment box, you will get charged.

What if I have a meeting between 4:00 pm and 5:00 pm and can not pick-up my vehicle before Car Rental Services closes? Will I be charged for an extra day?
You can have someone else pick-up your vehicle for you, but you must call ahead of time with the name of the person and they must have an up to date MVR. If you know ahead of time, you can put in the 'Comments' that you have a meeting and we can try and accommodate you.  Or if you call Car Rental Services and make arrangements with Car Rental Staff.

What if I have an early departure before you open?
You can pick-up a vehicle for an early departure on the day before your reservation after 4:00 pm during the Academic year and after 3:00 pm during the Summer and not be charged for that day. If you come before the allotted time, you will be charged for that day. Please state in the comment section for early pick-up due to early departure. If this is not in the comment box, you may get charged.   

What if I have an early departure before you open on a Monday? You can pick-up a vehicle for an early departure on the Friday before after 4:00 pm during the Academic year and after 3:00 pm during the summer and you will not be charged for the weekend.  If you come before the allotted time, you will be charged for that day. Please state in the comment section for early pick-up due to early departure. If this is not in the comment box, you may get charged.  

What time are you open for picking up and dropping off vehicles? You can pick up your vehicle from 7:30AM - 5:00PM during the academic year and 7:30AM - 4:30PM during the summer. You can drop off the vehicle at any time. A key box is provided for when we are closed. Simply park the vehicle in the lot across the street from the Fleet Building, lock it up, and place the key in the key box. If we are open,please bring the key to the office.
PLEASE NOTE: If there are any issues with the vehicle, be sure to let us know ASAP.

What How do I pick-up my vehicle?
Its a short walk across campus to pick up your vehicle. Plus your car will be waiting for you in a covered garage! Vehicles must be picked up and returned at designated times. There is no confusing paperwork to sign at pick-up. The driver will need to show their Driver's License and a current MVR before the car can be allowed to leave. A walk around is required before the vehicle is allowed to leave. The driver will need to sign showing they agree with any damages. This helps us to know if there are new damages.

Please notify Car Rental Services or note in the Comment Section, if someone other than the Driver or Requester  is picking-up your vehicle.   

Do I need to return the vehicle with a full tank of gas?
No. We are happy to refuel all returned vehicles, and the fuel charges will be reflected in your bill.

Are there mileage restrictions?
There are no mileage restrictions or limitations. Simply put, drive where you need to go!

Can I use the procurement card to pay for gas?
You may use the university procurement card for gas purchases with UW Fleet Vehicles. All gas receipts must contain the following information: name of gas station, location of gas station (i.e. Lander), price per gallon, total gallons purchased, UW Vehicle license plate number and date of purchase.

Where do I turn in my gas receipts if I don't have a procurement card?
Simply provide these receipts to your department's accountant who completes and submits university travel vouchers. All gas receipts must contain the following information: name of gas station, location of gas station (i.e. Lander), price per gallon, total gallons purchased, UW Vehicle number and date of purchase.

Who do I contact regarding special request?
Please contact the Car Rental Office at 766-3229. We understand that unique situations arise from time to time and we will do our best to meet your needs. You may also email us at
car-rentals@uwyo.edu.

What is the Passenger Policy?
UW vehicles are State vehicles and therefore children, pets or smoking (including Electronic Cigarettes or Vaporizers)  are not allowed inside the vehicle. Fleet Services will charge an additional $50 cleaning fee if smoke is detected or animal hair is found upon the vehicle's return and /or due to excessive dirtiness.

What do I need to know about cancelling my reservation?
You may cancel your reservation 24 hours in advance without being charged a one day fee. Cancellations may be completed by emailing
car-rentals@uwyo.edu, or calling the Car Rental Office at 766-3229. You will not be charged for last minute cancellations due to bad weather/road conditions, but if no cancellation is received, there will be a charge of $25. If UW closes due to severe/extreme conditions, all reservations will be stopped until further notice.

How long is my MVR good for?
Your Clean MVR Report is good for the existing Calendar year and will need to be resubmitted each calendar year beginning in November. (example: If you submit your MVR Request in Nov. 2015, the results of this check are good for calendar year 2016. If you request your MVR in Sept. 2015, your MVR results will expire on Dec. 31st, 2015). A mass email is sent to all active Car Rental Customers in November as a reminder to resubmit.

Can I send anyone over to get my car for me?
Your vehicle may be picked up by anyone in your department as long as they are identified in the Comment Block on the reservation ahead of time. You may add a note stating that this person will be picking it up or simply send an email to
car-rentals@uwyo.edu. NOTE ~ The person picking up the vehicle must have a current Driver's License and an updated MVR and have the approval to drive prior to coming over to get the vehicle.

Can I make a reservation for multiple vehicles?
You can make a reservation for as many vehicles as you need, however; your name cannot be listed as a driver on each of the vehicles. Each vehicle must have it's own 'Approved Driver' assigned to the reservation request. Please make sure this person has a current MVR and is in our Reservation system as a driver prior to assigning them to the vehicle. The names of additional drivers should be listed in the Comment Block of your request. If last minute emergencies arise and driver changes are needed, please call Car Rental Services ahead of time.

I forgot something in a vehicle, does Car Rental Services have a Lost and Found?
Yes, either call Car Rental Services or come into the office and see if your item has been found. It is helpful to know which car you may have left your item(s) in.

Am I responsible for parking tickets, traffic violations and toll charges?
Please drive safely and observe all ordinance, rental customers are responsible for payment of any tolls, parking, and moving traffic violations. We do have day permits for purchase for $5 (applied to the department bill) when you pick-up you vehicle. If you are parking on UW campus, you will need a permit.

If I get into an accident, vehicle will not start or I need a tow, what should I do?
Anyone using, operating, or otherwise responsible for a University Vehicle who is involved in an accident resulting in damage to the vehicle and/or involved in an accident resulting in personal injury or private property damage shall follow these step: htt://www.uwyo.edu/auxserv/car-rental-services/rental-information/accident.html. If the vehicle is unsafe to operate, call Auto Shop @ 307-766-3349 during normal working hours to facilitate towing and vehicle replacement. After hours, call the UWPD, 307-766-5179, for connection with the proper individual.  

What if you do not have the vehicle that I requested?
If we do not have the type of vehicle that you request, we will contact you and see if a different vehicle will be okay. If the change is due to our fault (vehicle you are assigned gets in an accident, needs repairs, or has to be out of service), we will charge you for the vehicle you were assigned to before. No other exceptions, you will be charged for the vehicle you drive.

How do I return a vehicle?
Vehicles may be returned after hours by parking in the small lot at the corner of 14th and Bradley or, if that lot is full, the upper lot on 15th and Bradley. Vehicles must be locked and keys placed in the keep drop located on the wet end of the Service Building. If you are returning the vehicle during hours, you can bring the keys to the office or drip them in the drop box. You do not need to fill the gas tank or write down the mileage. Car Rental Services will complete this. A receipt will be sent to the department and the end of the month will be sent out at the beginning of the next month.
